One thing we do to make it easier to locate previous decisions is that we have always maintained a Decision Log. I'm the current maintainer of that Log. 4x/year I look back at the previous 3 months' worth of plenary minutes to see what our consensed-on decisions were (the Meeting Summary at the top of the minutes makes them easy to spot), and I add those to the Log. All I put in is the meeting date and a very brief, preferably 1-sentence summary of what it was. People who want the full proposal and/or the meeting details know which minutes to go back to. I occasionally search for something in the Decision Log and find it very handy. A google drive search is much less satisfactory as you can't be sure what to search on and will get many irrelevant search results. Muriel @ Shadowlake Village
