This is exactly our system at Phoenix Commons in Oakland except we book rooms through our Mosaic site via a coordinator who marks the calendar and oversees our guest suite which has two bedrooms, one with queen bed, one with twin.

Guidelines for Guest Rooms
1.  Rooms are reserved on first come-first served basis by posting on a paper

3.  Length of stay:  up to one week or longer under special circumstances.
4.  Each guest must have a member host.
5.  If all guest rooms are booked, then there will be a waiting list in case 
the first guest has a change in plans. All members on the waiting list will 
communicate with each other and the host who made the first reservation.  The 
host with the first reservation needs to notify the next member host as soon as 
possible should his guest cancel.  If there are no guest rooms available for a 
specific time period, a Member Host could try to see if any community member 
could accommodate the guest in their home.  The Member Host is still 
responsible for their guest.
6.  The member host or her/his designee must be present for check in and checkout and 
for issues which might come up during a guest’s stay.  Please indicate on the 
calendar if another member is standing in as host for you.
7.  Responsibilities of the member host include preparation of the room, check 
in and signing for room keys, orientation of guests, check out and return of 
keys, washing of sheets and towels within 24 hours of departure, and cleaning 
the bathroom and guest room.  Please allow at least one hour for cleaning.  
Hosts and their Guests will leave the Guest Room cleaner than they found it.
8.  Check in and check out times are to be decided by hosts with back-to-back 
reservations.
9.  In accordance with the Pet Agreement item #3 no pets are allowed in guest 
rooms.

We have one guest room (in our Common House).
We limit stays to 7 nights. $25 first night, $10 per night after.

We have a lottery which goes into effect for reservation requests for stays
around Thanksgiving, Christmas and New Year's Eve.  If we have multiple
requests for those times, we draw a name.

Our reservation system is managed through Google Forms with admins putting
reservations onto our Google Group Common House Guest Room Reservation
Calendar. Hosts are responsible for room turn over.
