I think from other postings on the list, this is what other groups do. I suspect that anything else would be worse than one bad experience. The responsibility for saying no to someone, even if it is legal which I don't think it is, can be far worse than one bad experience. Ensuring that the person understands who you are and what you expect of each other and them I think is pretty much all you can do.
