        E-MAIL PROTOCOL

Objective to be achieved: to have Operating Agreements on how we communicate by email, to be more effective and prevent upsets.

Body of proposal: That we accept the following Operating Agreements about using email:

General uses for email communication:

1. To put out a Proposal before the meeting. Please respond back to the person/team putting out the proposal, not the whole group, to avoid confusion. Getting your responses, positive and negative, is important for the person putting out the proposal. 2. To put an issue before the group. Again, please respond directly to the person putting out the issue - your response is important. 3. To be used as a bulletin board for information, sharing, and passing along interesting ideas and/or information from other cohousing groups.

General Way to use email:

1 . Respect others' opinions and feel free to disagree but don't use email to handle personal upsets. express hostility, badmouth others. 2. Watch out for "we" statements. Clearly identify who the"we" is, and make sure you are correctly representing them. Otherwise, express opinions as personal.
3.      Don't send chain mail through this address.
4.      Be sensitive to people's privacy.

Procedures:

1.      Don't give out anyone's e-mail address without their permission.
2. Member Services will put out guidelines of who decides when people come on and off the list.
3.      For correction in name or address, contact Cheryl Starke.
4. Use partners@liberty village.com for business meant only for LLP partners. Most of the time we will use members [at] libertyvillage.com.[these addresses have since been changed to reduce spam]
5.      Identify business topics in the headline as BUS or BIZ
6. If your email is down for sometime, MS Team know to assign you a buddy to keep you informed. 7. Proposals are put on the list at least three days before discussion at a meeting. If you have not received any proposal listed in the agenda, please contact another member.
