The slightly technical approach: If you have a server (or an office computer that's always on) on site you can install it on that. I like MediaWiki, partly because you can download a pre-installed virtual machine with it already on. The advantage is that you control it, the disadvantage is that you have to control it. The easy way: search for a web hosting company that supports mediawiki and pay #3-$5/mo for them to do it. Then you just email everyone the URL and away you go. The downside is that you will probably want to approve the users, otherwise anyone can sign up and edit your wiki., But a little administrative work by you and you can control who edits it and who can even see it (you can make it so that outsiders can only see the front page).
