Our meals account is separate from the community's budget. After a cooked meal, the head cook gives the Meals Accountant the signup sheet and their reimbursement receipts, and the Accountant enters in a Meals Account spreadsheet the debits for the households that attended and either credits the cook for their costs or cuts them a check, as the cook prefers. Once a month the Meals Accountant sends out a note showing everyone's Meals Account status. Those with a balance due write a check to the Meals Account. This is pretty low-tech, but it works for us. Of course, right now we're (again) not having common meals, but I hope we can resume in 1-2 months.
