Re: minutes - computers help

Having the minutes in electronic form -- done on a computer -- makes it
much easier to keep track of things.

I am the archivist for RoseWind and for the early years I do have just
the sorts of bristling notebooks others have mentioned. But for many
years now, the secretary has either taken notes on a laptop, then cleaned
them up for emailing, or - pre-laptop and pre-email - I at least created
the minutes (from handwritten scribble) on my computer. So I have years
of minutes on file in my computer (and since email, many other members
also have them too), which makes it easy to print out any missing bits in
the hard copy binders, or any excerpts someone wants. We are currently
working on having a password-for-members section on our web site that can
include past minutes, so people can look up for themselves something from
several years ago. It won't include handouts, but will include the
fairly-detailed meeting notes.

I've had the idea of assigning "eras" to little teams to research and
summarize: glad to know it can be done, and enjoyed. Soon I'll get some
shelves built in the wide closet that's to house our "office" in the
Common House: all the filed stuff that's lived in my house for years, so
it can be more self service. I'm a bit nervous that something could get
borrowed and lost, but having electronic backup also is reassuring in
that respect.
