We do it entirely by paper right now. We are moving to posting more
things on the web (a Google Group), so you can see the posted common
house cleaning, or meal schedule on the web as well as on the bulleting
board. But guest room and common house signups are on paper on the
bulletin board in the media room.
I think during summer and holidays we ask that people not sign up for
more than a week in guest room, and they can have more if no one else
signs up. We have found in summer and holidays that there are often
people gone on vacation who are willing to let people use their unit for
guests, so that has worked for the overflow. For awhile, we had one
resident who had a guest room in his unit that he willingly let anyone
use, (not quite a B&B-- we've not had people charge for using their
unit, altho we have had people pay to have them cleaned post visits)
We also started a "next in line" on the paper calendar, as often plans
change for the person who reserved it. So the first person puts their
name and the date they signed up on the calendar, and then the next
person puts their name and date, etc, so if the first person cancels,
and it comes available the next person in line gets it.
We also require the guest room to have a sponsor, who makes sure the
cleaning is done. (so in general the guestroom is only for friends and
family)
